JOB SUMMARY

Works with the PSO team, the patient safety team, the PSO vendor, PSO participants, and CHA colleagues to advance programmatic priorities of Child Health Patient Safety Organization (PSO), while preserving privilege and confidentiality of patient safety work product (PSWP). Management duties support member value and satisfaction with the PSO program and deliverables. This position has a major responsibility for managing the PSO’s data systems.

PROGRAM MANAGEMENT

  • Manages and monitors member and staff access and reporting protocols, procedures and use. Alerts program lead of actual or potential risks, especially those related to patient safety work product.

  • Modifies existing processes for better efficiency/user experience.

  • Identifies new business processes to support and sustain program and deliverables.

  • Maintains operational database and report on program statistics to inform stakeholders, such as participation and engagement on deliverables and the program.

  • Collaborates within CHA to leverage extended resources/internal subject matter experts where team has gaps and to minimize duplication of resources and to align work processes.

  • Collaborate with marketing staff to execute marketing plans and develop program information including marketing lists.

  • Anticipates and engages other CHA teams to address program issues and coordinate program and deliverable promotion: Event Services, Communications, Education, Member Relations & Marketing, IT, Contract Services, etc.

  • Understands requirements to preserve privilege and confidentiality of patient safety work product (PSWP) and promotes this understanding with others as appropriate.

PROJECT MANAGEMENT

  • Initiates plan development on prioritized deliverables. This includes scoping the project to meet objectives, conducting research and data analysis, identifying project timelines, anticipating risks/challenges, and building team buy-in to plan.

  • Leads and/or supports project execution and timely and frequent communication with stakeholders.

  • Maintains team focus on established goals and redirect group when needed.

  • Anticipates risks/challenges, problem solve, recommend solutions to stakeholders.

  • Monitors and manages timelines and performance for on-time completion of projects and understanding of project outcomes.

  • Ensures communication and reporting among stakeholders on milestones and barriers.

  • Collaborates with program team to develop and execute program meetings both in-person and virtual (e.g., membership meeting (s), Patient Safety Team).

  • Initiates deliverable review and closure once completed including organization of deliverable documentation for appropriate retention.

PARTICIPATION MANAGEMENT

  • Supports records management to monitor member contact and target communications as appropriate (via phone, email, in-person meetings).

  • Manages participation communications, follow-up and contracting process (Participation Agreement, Confidentiality, Business Associates Agreement).

  • Develops and implements onboarding plan for new members, including vendor coordination.

  • Identifies and resolves users' issues with tools and implementation, investigate issues and maintain communication with users.

  • Connects with internal contacts/programs as appropriate to support customers.

  • Recommends programmatic changes from customer feedback themes.

  • Collaborates with Member Relations and Marketing Team on targeted member issues when appropriate.

  • Alerts program lead on retention concerns and collaborate on resolution to mitigate departures.

  • Fields program and product questions and engages program lead for participant recruitment.

DATA SYSTEM SUPPORT

  • Understands all functionalities within the data system to a high degree and routinely tests data entry functions to ensure accuracy/quality assurance and proactively address issues that may arise.

  • Develops and maintains training materials (e.g., job aides, slides), resources and online learning videos/webinars for data collection and reporting., and for regulatory procedures.

  • Conducts training approaches to meet varied needs (e.g., scheduled group, scheduled one-on-one, on-demand).

  • Provides front-line support for data system problems and issues by engaging vendor to research and troubleshoot the data system and to facilitate loop closures with internal and external customers.

  • Communicates and collaborates with other team members and hospital members regarding data system enhancements/changes.

  • Extracts data to fulfill approved internal and external requests.

  • Develops ad hoc reports to meet approved internal and external report requests.

  • Upholds regulatory requirements with de-identification.

  • Communicates regularly with vendor staff to align efforts and results.

Experience and Skills:

Education:

Any combination of education and experience providing the required skill and knowledge is qualifying. Typical qualifications would be equivalent to:

  • Associates degree required; Bachelor’s degree preferred; healthcare or business preferred

Experience and Special Skills:

  • Minimum of five years customer management experience, healthcare experience preferred

  • Ability to use discretion and maintain confidentiality

  • Demonstrated application of standard project management methods

  • Demonstrated experience using data and managing quality assurances protocols

  • Strong analytical and problem-solving skills

  • Excellent time management skills and ability to manage, organize and prioritize projects

  • Strong interpersonal skills and ability to work with diverse audiences and individuals at all organizational levels

  • Excellent oral and written communication skills

  • Ability to prepare and present information in varied mediums

  • Knowledge of the healthcare industry and understanding of clinical terms, healthcare products and services
